Google Workspace Updates Weekly Recap – November 10, 2023

Timeline view in Google Sheets now available on Android & iOS 
In 2022, we introduced an interactive timeline view that allows you to track projects in Google Sheets. Adding timezone support for existing smart chips in Google Docs

Improved toolbars in the Google Docs, Sheets and Slides apps on Android devices 
We’re introducing enhanced toolbars in the Google Docs, Sheets and Slides apps that are optimized for Android tablets and foldables, and ultimately improve the editing experience across the apps. 
  • In Docs, there is a new mode switcher that allows you to switch between editing, suggestion, and viewing modes. 
  • In Slides, you will have access to an ever-present toolbar while in editing mode. 
  • In Sheets, a cell will be selected by default upon opening the app.

Streamlining the user experience in Google Chat to help you find what you need much faster 
A redesigned navigation panel brings direct messages and spaces together and introduces shortcuts, a new framework to help you stay on top of your messages. To reduce friction while navigating between messages, home helps you quickly catch up on any new activity across all conversations in a single location. Filter by people or groups in Google Drive 
We’re adding a new filter to Google Drive that lets you see which files or folders have been shared with specific people or groups. | Learn more about filters in Drive.

Improvements for scheduling large scale meetings on the web
We’re making several changes which will make scheduling large scale meetings (up to 100k guests per event) easier and guide schedulers through the process with more context. Once you’ve created and saved a Calendar event which contains a large group of attendees, you can open the event to check on the invitation progress. | Learn more about large scale meetings in Calendar.

Introducing a new homepage in the Google Drive app 
We’re updating the homepage of the Google Drive mobile app on Android and iOS mobile devices to help you more easily find the right file much faster. An updated suggested view will allow you to see even more recommended files at once, such as those that have been recently opened, shared or edited. In addition, we’re replacing the notifications view with activity view, which recently launched on web. | Learn more about the homepage in Drive.

Configure and bind multiple Android Enterprise Mobility Management providers 
You can now bind multiple Android enterprise mobility management providers (EMM) to your Google Workspace account. Previously, you could only bind a single EMM within your organization. Presented content will be captured in higher definition in Google Meet recordings 
For recorded meetings in Google Meet, we’re increasing the maximum resolution for shared content from 720p to 1080p. Allow users to install and run any internal app from Marketplace

Review and approve your Contacts delegates by November 12, 2023 
In May 2023, we announced several changes for Contacts delegates, specifically that they will be able to update labels and manage “Other” contacts. We’d like to share an updated timeline for this change and provide additional clarity around what’s required of users. Improved paste values experience in Google Sheets 
Previously, when pasting a number in Google Sheets using Paste special > Values only, the content pasted was only the text from the original range of cells. For example, for the date 9/21/2023, paste values only would paste the date serial number of 45190. To improve upon this feature, the default for paste values for numbers will include values and the number format, meaning all of your numbers will retain their formatting as you are working in Sheets. | Available now to all Google Workspace customers and users with personal Google Accounts.

Different certificates for signing and encrypting messages in Gmail 
If your organization uses different certificates for signing and encrypting messages, you can now use the Gmail CSE API to upload different encryption and signature public certificates for each user. | Rolling out to Rapid Release domains now; launch to Scheduled Release domains planned for October 9, 2023. | Available to Google Workspace Enterprise Plus, Education Plus, and Education Standard customers. | Visit the Help Center to learn more about using the Gmail CSE API to manage user certificates


Allow certificate mismatches for client-side encrypted messages 
In some cases, the email address associated with a user’s certificate might be different from their primary email address — this is known as a certificate mismatch. Admins can now opt to allow certificate mismatches, which means their end users will be able to decrypt and read messages with a mismatch. The next phase of digital whiteboarding for Google Workspace

Updates regarding the transition from spaces organized by topic to in-line threading in Google Chat 
In 2022, we introduced in-line threading for Google Chat and since March 2023, all newly created spaces in Google Chat are in-line threaded by default. On September 30, 2023, we will begin taking the next step toward a single, streamlined flow of conversation in Google Chat: all existing spaces organized by conversation topic will be upgraded to the in-line threaded experience. Client-side encryption in Gmail is now available on mobile devices

Beginning September 30, 2024: third-party apps that use only a password to access Google Accounts and Google Sync will no longer be supported

Insert links in the Google Sheets app on iOS devices 
We’re adding the ability to insert a hyperlink into a cell in the Google Sheets iOS app by selecting a cell > clicking “+” in the top left corner > Insert > Link. Enhanced spam protection through automatic labeling of suspected spam messages in Google Voice 
If you're using Google Voice, you're familiar with our suspected spam caller warnings. We're extending this feature to SMS messages on Android and iOS devices. You'll see these labels within the message, and you can either: 
  • Confirm a suspected spam message, which causes future messages from that number to go directly into the spam folder. 
  • Mark a labeled message as not spam, after which the suspected spam label is never displayed for that number again. 
Available to Voice Starter, Standard, and Premier customers, as well as users with personal accounts in the US. | Rolling out now to Rapid Release and Scheduled Release domains at an extended pace (potentially longer than 15 days for feature visibility).

In Google Contacts and across various Google Workspace products, you’ll begin to notice birthday decorations when hovering over another user’s people card. This small change can have a big impact on building deeper connections with your colleagues and stakeholders. Add an organizational unit as an attribute in your external directory 
When using Directory Sync, you can now place users from the Azure Active Directory or Active Directory to a specific organizational unit on the Google Workspace side. To do so, you’ll need to add an organizational unit as an attribute in your external directory. Expanding autocorrect to Google Chat on web 
Google Chat on web will now automatically correct misspelled words, making it easier to send messages without typos. Similar to functionality in Gmail and Google Docs, the corrected words are shown with a gray underline so you know when the auto-correction has occurred. | This feature is rolling out now to all English users.

Expanding streamlined file organization across Google Workspace 
Earlier this year, we introduced streamlined file organization with the new Google Drive location picker. We’re introducing new zoom keyboard shortcuts in Google Docs and Slides on web to help you zoom in, zoom out, or scale to 100%. Dynamic groups now supports negation queries 
You can now create or edit dynamic groups to use negation in membership queries. For example, you can opt to create a dynamic group that excludes all users from a particular sub organization or specific job title. Lock files more easily in Google Drive 
We’re adding the option to lock Drive files by right-clicking the file, selecting “File information”, and clicking “Lock”. Locking a file makes sure reviewers can’t change a file. Edits, comments and suggestions can't be added to locked documents. | Learn more about locking files in Drive.

Increased row limits in Connected Sheets for BigQuery 
We’re increasing the maximum number of rows of results returned from BigQuery for pivot tables and for data extracts. Pivot tables have been expanded to 50,000 rows (previously 30,000) and data extracts have been expanded to 50,000 rows (previously 25,000). | Learn more about Connected Sheets for BigQuery.

What’s changing

Connected Sheets provides the power and scale of a BigQuery data warehouse in the familiar context of Google Sheets. Starting today, we’re increasing the maximum number of rows of results returned from BigQuery for pivot tables and for data extracts: 
  • Pivot tables have been expanded to 50,000 rows (previously 30,000) 
  • Data extracts have been expanded to 50,000 rows (previously 25,000) 
With the increase in row limits, you can now analyze even more rows of results in Sheets from the petabytes of data in BigQuery. Additionally, we’ve made performance improvements for pivot tables and extracts in Connected Sheets, including updates to creating a pivot table, deleting an extract, cut/copy/pasting data in a pivot table, inserting a row, deleting a column, and more.

What’s changing

Launching in open beta, you can now import and convert sensitive Excel files into Google Sheets with client-side encryption. Your encrypted Excel file won’t be changed, even as you change the encrypted Sheets file.

In Google Sheets, navigate to File > Import.


Additional details

With this release:
  • You can only import encrypted .xslx Excel file types. Additional Excel and tabular file types are not supported.
  • During import, unsupported Excel features in Sheets will be ignored.
  • The maximum file size is 20MB.
  • The maximum number of cells that can be imported is 5 million.

  • End users: 
    • To use the Help me organize feature, write a description of what you need in the sidebar > click Create > View the generated table preview. 
      • Note: You must write a minimum of 2 characters in the sidebar. The maximum number of characters is 150. 
    • The Help me organize sidebar is surfaced for any empty tab (new or existing Sheets files). 
    • You can re-open Help me organize from the insert menu or the toolbar via a new icon. You can also re-trigger the sidebar when adding a new tab.

Copy space member email address in Google Chat 
Space managers and members can now copy the email addresses of members in a space on Google Chat. This option is ON by default for spaces with 100 members or less. The option to copy space member email addresses will be disabled in spaces with 100+ members.

Filter by expression for Connected Sheets for Looker 
You can now use common filter expressions from Looker such as “last 30 days”, “last quarter”, or “NOT 50” to filter on pivot tables in Connected Sheets for Looker. | Learn more about Connected Sheets
