Admin quarantine for inbound and outbound email

The admin quarantine feature provides greater email security and control by allowing admins to moderate when messages satisfying certain conditions are encountered in their domain’s mail traffic.

When a message is flagged by a policy for quarantine (e.g. subject contains the word ‘confidential’), it will not be delivered to the intended recipient. Instead, this message will show up in the admin’s quarantine review UI. Admins can then review the message, choose to allow delivery to the intended recipient, deny delivery with or without rejection notice or do nothing. If no action is taken, messages expire and are removed from quarantine after 30 days.

To make quarantine management easier, up to 25 named quarantines may be set up with unique quarantine criteria. Admins may choose to put messages in different quarantines based on several classification criteria by setting mail flow policies (content compliance, objectionable content, etc.).

Suspicious login alerts no longer included in Admin console notification inbox

Based on admin feedback―and in an effort to reduce overall notification volume―we have stopped including suspicious login alerts in the Admin console notification inbox. These alerts will continue to be sent via email.

A new look for the Google Apps Admin console

At Google I/O last June, we introduced material design, a single underlying design system that allows for a beautiful unified experience across platforms and device sizes. You’ve seen these design principles applied to many of Google’s products recently, and today we’re announcing that the Admin console is next in line.

The Admin console has been redesigned to better meet the needs of Google Apps admins, putting your most important controls front and center and making the most common tasks easier than ever to complete. 

To help you get acquainted with the new design, we’ve prepared a design change guide [pdf], featuring screenshots of the new navigational elements and guidance on how to change settings, manage and add users, apply filters and access other frequently used features in the new UI. We also pulled together before and after screenshots for context on how things will be changing. We suggest spending some time reviewing these guides to ensure you can hit the ground running with the new design.

Admin provisioning of Google+ profiles for organizational units

A few weeks ago, we launched the capability for Google Apps admins to give individual users a Google+ profile, in order to connect with other employees and encourage collaboration and sharing in the organization. We’re now extending this capability so that admins can perform automatic profile upgrades for an entire organizational unit (OU). 

From Apps > Additional Google Services > Google+ > Sharing settings, admins can simply select an OU that has been enabled for Google+ and check the box in Profile Creation settings to automatically create Google+ profiles for all members of the OU. 

After confirming that all people in the OU are older than 18 (and that no users under 18 will be added to the selected OU), Google+ profiles are then automatically created for all existing (and future) members of the OU. These members are then sent a Google+ welcome email explaining the action taken by the administrator.

Notes
  • Today’s launch applies to Premier, Gov and higher-education EDU domains only (K-12 EDU domains are excluded).
  • People using Picasa or with a public chat photo are not eligible to be upgraded by an admin, and must create their own profile.

Easy troubleshooting using Calendar audit

Sometimes Calendar events change―like an event being deleted or updated, the removal of a booked room, or a change to a list of invitees―and it’s not clear how those changes came about. Starting today, admins can use the new Calendar audit feature in Admin Reports to see details of specific user actions within Google Calendar. 

You can see changes to primary calendars―like deleting or creating a new calendar―along with changes to events like description, time, name or guest list, and even changes to notifications and reminders. 

To access the Calendar audit reports in Admin console, click on Reports > Audit > Calendar:

A better place to manage your apps

To make it easier to find and manage your apps, we’ve introduced a new Apps icon in the Admin console. The Apps icon is the one place to manage Google Apps, Additional Google services, and Google Marketplace apps. To check it out, simply login to admin.google.com, and click on the Apps icon:

Increased visibility and control with OAuth token audit reporting

Currently, people using Google Apps can authorize any third party mobile or web application which supports login with a Google Apps account using OAuth to read their account data (e.g. Contacts, Calendar, Drive files, etc) to integrate with Google Apps. Each authorization grants an access token, which is then logged in the Apps Admin console. Previously, Admins could review the current state of OAuth tokens granted by people within their domain using the security tab, but could not access the change logs of authorized and revoked tokens.

With this launch, we are adding a new audit report that allows admins to view ‘authorize’ and ‘revoke’ events for OAuth tokens within the Admin console Reports section and the Reports API. Admins can use this new audit report to find out what new apps have been installed by individual users and, if needed, can revoke access using the security tab. This improves admin visibility and control over access of third party apps by users in their domain.

In addition, admins can use the Reports API to set up a push notification for oAuth 'authorize' and 'revoke' events, generating an alert when a certain event happens. Optionally, admins can also revoke data grants using the Directory API.

Additional Gmail reports added to new aggregate reports dashboard

Building on the recent launch of aggregate reports in Admin console, we’ve launched additional time-series reports for Gmail, with the goal of providing admins more visibility into mail flow.

New reports include:
  • Outbound Mail Delivery
  • Outbound Mail Encryption
  • Inbound Mail Delivery
  • Inbound Mail Encryption
  • Inbound Spam

To access the aggregate reports dashboard, sign in to the Admin console and click Reports > Aggregate Reports.

Enhanced Google Admin app for Android

The Google Admin app for Android allows super admins to manage their Google for Work products on the go with their Android phones and tablets. The app can be used to manage users and groups, contact support, view audit logs, check notifications and do other common administrative tasks. We’ve launched an update to the app, including the following new features:
  • Optional 4-digit PIN that works across devices: We’ve added an optional and convenient 4-digit PIN to secure access to the app. You can use the same PIN while logging into the app from any device.
  • Ability to switch between multiple accounts: Admins who manage multiple domains can now do so from the app without logging out and logging in
  • Accessibility compliance: The app is now accessibility compliant on all primary flows and use cases
  • New icons and other fixes: The app now features new sharper icons; several bugs have been fixed

Note that this app works for super admins only and requires API access to be enabled. Release track:

Aggregate reports added to Admin console reporting

We have added a new feature to Admin console reporting called aggregate reports. The aggregate reports are designed to provide domain-level trends across multiple apps and allows admins to select their favorite reports for regular tracking.

The first version contains a series of charts displaying Google+ Hangouts usage, account status, admin status, storage quota, document visibility, email count, and Drive file count for all people within your Google Apps domain.

These new reports are best used for seeing overview trends. The user-level reports should be used for detailed user-level data. Admins can easily export the report directly to a Google Sheet or download it as CSV.

We will soon be adding many more reports to this section like usage trends for mobile, mail spam reports and many others so stay tuned.

To access the aggregate reports, sign in to the Admin console and click Reports > Aggregate Reports.
