Introducing AppSheet User Pass

What’s changing

Starting today, you can license any user of your apps with AppSheet User Pass. Each User Pass grants unlimited access to an AppSheet app for the month and your users can consume as many User Pass licenses as they need. This gives you the flexibility to pay for the features that will make a difference for your users, whether they are internal or external to your organization, signed-in or unauthenticated.

Additional details

How is an AppSheet User Pass is different from traditional Google Workspace licenses?:

  1. User Pass licenses are available to your app users as a pool, rather than assigned to individual users through the Google Admin console. Licenses are automatically consumed each time an eligible user accesses one of your AppSheet Enterprise Plus or AppSheet Core apps. Eligible users include those that do not already have an AppSheet license or have a license of a lower tier than the app owner, including internal, external, or unauthenticated users.

  2. Users consume a license for each app they use - allowing you to license your app users at a discounted rate. User Pass will not independently grant these users the ability to build apps with Core or Enterprise features, but it is possible for an eligible user to consume more than one User Pass license if they access multiple unique apps in a month. For example:


Please also note that:
  • The pool of User Pass licenses resets at the end of the calendar month and unused licenses do not rollover. You will only be charged for the user pass licenses that you have committed to purchase.
  • AppSheet User Pass will be available through Workspace and the Partner Sales Console. 
  • We recently alerted customers that starting April 10, 2025, the AppSheet Enterprise Standard External User and AppSheet Enterprise Plus External User licenses will no longer be available for purchase. Customers with existing external user licenses will not see any interruption in service during this transition and will receive additional notice with next steps.

Embed AppSheet apps directly in Google Sites

What's changing

We're excited to announce that you can now embed authenticated AppSheet applications as iframes directly within Google Sites pages. While previously only public apps could be added to Sites, now, apps that require sign-in can be embedded so that users can securely interact with the app directly on a Google Sites page.

  • Streamlined user experience: Eliminate the need for users to navigate between multiple tabs. Users can now interact with authenticated AppSheet apps directly within Google Sites pages, boosting productivity and efficiency.
  • Centralized workflows: Build powerful, interactive business applications like intranet portals and wikis by embedding key tools and information directly into Google Sites.
  • Controlled by policy: Leverage AppSheet’s existing in-app authentication and policy rules, ensuring consistent and secure access to your applications. Creators have control to disable embedding functionality in their apps.

Overall, support for iframe embeds of authenticated apps in Sites enables secure, seamless integration of your enterprise-grade AppSheet applications and empowers you to create more robust and user-friendly Google Sites. 


Additional details

  • Embedding authenticated (e.g. "sign-in required” or “restricted”) apps is only supported for Google Sites pages. “Public apps” continue to be embeddable in any website.
  • Use a Chromium-based browser with third-party cookies enabled. Incognito mode and blocking cookies will prevent apps from functioning properly.
  • We recommend ensuring the embedded AppSheet app (iframe) is fully visible. Partial visibility or excessive zoom may cause interaction issues.

Improved experience for highlighting and annotating images for AppSheet apps on Android 
We're pleased to introduce a new experience for marking up images within AppSheet apps on Android devices. Now, your users can add precise highlights and markings to images, making visual communication clearer and more effective:
  • Add geometric shapes: Draw rectangles, ellipses, and arrows to highlight key areas 
  • Include text: Add labels and descriptions directly onto the image 
  • Move and edit: Reposition shapes and text annotations with ease 
  • Zoom: Zoom in and out before and after adding drawings for added precision

Updating the access experience in Google Drive 
Last year, we introduced a beta that allows shared drive managers and My Drive owners to restrict folders to specific users.     Now generally available: Monitor and manage AppSheet usage in your organization with the AppSheet Admin console

    What’s changing 

    Beginning today, we’re pleased to announce that all Google Workspace Admins with the AppSheet service privilege can access the AppSheet Admin Console. The AppSheet Admin console is a consolidated location to monitor, manage and govern AppSheet across your organization. Previously, the AppSheet Admin Console was only available to those with an AppSheet Enterprise Plus license in public preview, but now any admin with sufficient privileges has access to monitor and manage their users (note: some features require an enterprise license for the admin and the user). 


    The AppSheet Admin Console gives admins visibility into the users, apps and licenses associated with their AppSheet users. From here, admins can: 
    • Review the most popular apps and creators. 
    • Review how many apps are owned and used for every user account. 
    • View all of their organization's app users. 
    • Verify the AppSheet licenses purchased, assigned and used. 
    • Export a list of accounts, users, apps and licenses. 

    Since Public Preview, we’ve added more functionality: 
    • Historical app usage: Admins can see app usage history for all accounts in their organization up to three months starting today and soon extending to six months. 
    • Self-serve provisioning: Admins can choose how their enterprise licenses are provisioned - either through license assignment in the Workspace Admin Console or automatically upon login to AppSheet.  
    • Organizations as the new standard: New and existing Workspace customers can manage all of their secondary domain users under a consolidated AppSheet organization.

    We’ve heard from our customers that in order to effectively manage AppSheet activity in their organizations, they need visibility into its usage. This includes information regarding how many users are using an AppSheet license, who is accessing their teams apps, and more. Expanding access to the AppSheet Admin console provides admins with these critical metrics, enabling them to understand how the tool is being used and govern the use of the tool as needed.

    The AppSheet Admin Console is now available in public preview
    For the first time, Workspace admins will have visibility into the users, apps and licenses associated with their AppSheet users via the AppSheet Admin Console. Previously, these advanced monitoring capabilities were limited to AppSheet Enterprise customers. Now all Workspace admins with the AppSheet service privilege can use this data to gain a deeper understanding about how their users are interacting with AppSheet. With the AppSheet Admin Console, you can view all the app users across any of your organization’s apps, review the most popular apps and creators, and more. Admins can also take actions like exporting a list of accounts, users, apps, and licenses for their organization or set the role of users in their organization.     Google Workspace for Education users can now set and share personal pronouns and name pronunciation
    Google Workspace for Education admins of K-12 and higher education institutions can now give their students the option to set their pronouns from their Google Account at aboutme.google.com. This option is OFF by default and can be enabled for all users or a subset of them (such as for a specific location or class). User-defined pronouns will appear in personal information cards displayed when hovering over or clicking someone’s profile photo across Workspace apps like Gmail, Calendar, Docs, Sheets, Slides, Chat, and Drive.       Introducing AppSheet Organizations

      What’s changing 

      We’re making it easier to manage your AppSheet users with the introduction of AppSheet Organizations. An AppSheet organization creates organization administrators with a centralized tool to manage all of the teams in the organization and delegate team management responsibilities to team administrators. 

      This chart shows the hierarchical relationship between an organization, and its teams and members. 




      An organization is based on a Workspace organization and is tied to your primary domain. One organization can contain multiple teams based on Google groups and Workspace organizations.

      Why you’d use it

      AppSheet organizations significantly simplify the management of users and policies across all their AppSheet teams. Admins can:
      • Access self-serve tools to make changes that formerly required manual Support team intervention.
      • Create and manage organization-level policies that apply to all teams and manage individual team policies.
      • Create new teams with distinct admins, users and policies as needed. Admins can also independently assign or remove team, root, or organization administrator roles of any user.

      Support for non-Google authenticated users
      For new and existing customers with AppSheet Organizations, any user from your verified primary or secondary domains that does not authenticate through Google will be shown in your domain-based teams alongside any group-based teams that have been created. These users will be subject to the same policies and team settings that apply to your users that authenticate through Google.

      What’s changing

      AppSheet helps users automate manual workflows by integrating with data sources like Google Drive and Sheets, and today we’re excited to announce its integration with another data collection tool in Workspace: Google Forms.


      Many companies rely on the data collected via form submissions when they are performing tasks for ticketing or incident reporting. However, prior to today you could only view information from form submissions via email, spreadsheet or in the Forms app itself. 


      With this update, Google Forms submissions can act as event triggers within AppSheet Automations. These automations can then take many different actions, such as sending notifications or approval requests to Gmail or Google Chat, or even calling a custom Apps Script function.

      AppSheet smart chips for Google Docs

      What’s changing 

      In Google Docs, you can already insert smart chips for Docs, Sheets and Slides files, date chips, Calendar event chips, and more. Beginning today, you can now insert smart chips for AppSheet content. These smart chips allow you to access AppSheet data directly into Docs — you’ll be able to view and take action on the data, including triggering automations, without having to leave Docs.

      Note that AppSheet Core licenses are already included for domain-verified Google Workspace Enterprise Plus, Enterprise Essentials Plus, and Education Plus users. Your Google Workspace instance must be domain-verified to enjoy this feature. 


      Along with expanding access, we’re giving Admins a new org-level setting, which controls how users are able to use their AppSheet Core licenses, including whether app data can be shared externally. See below for more information.

      Why it matters

      AppSheet allows users to maximize Google Workspace by building custom applications on top of Google Workspace and other services in their environment, all without writing any code. For example, you can build apps that record facility inspections, document inventory, or manage approvals. 


      You can take advantage of AppSheet features and integrations such as:
      • Creating AppSheet-powered no-code Chat apps for Google Workspace.
      • AppSheet databases make it easy for you to organize and manage the data that power your apps directly inside AppSheet. See our Developer Blog for more information. 
      • Building custom automations with email, chat, and push notifications that integrate into your workflows.

      By including AppSheet Core licenses in more Google Workspace editions, the power of AppSheet is accessible to more users. Further, Admins will have the security features they need to ensure their users are using AppSheet appropriately in their organization.       Additional details

      Admins can use the new “Core License Security Setting” in the Google Workspace Admin Console to control features related to whether app data can be shared externally. The setting will apply to the following functions for Google Workspace users using AppSheet Core:
      • Sharing with external app users
      • Connecting to external app data
      • Automation emails to external recipients

      The setting applies to all AppSheet Core apps in your domain — for more granular governance, AppSheet Enterprise licenses are required.



      • For Admins with existing AppSheet usage, this setting will be OFF by default to ensure no existing apps are disrupted.

      Admins

      • If you’re currently paying for AppSheet Core licenses, they will have to be canceled manually. Impacted customers will receive a notification via email in the coming weeks with more information and next steps.
      • Before changing the Core License Security Setting, Admins should check with their AppSheet creators to ensure any active applications don’t rely on the features controlled by the Core License Security Setting. Admins can get a basic understanding of which users are using AppSheet by running a User Report in the Google Workspace Admin Console.

      • AppSheet Core licenses are already included for domain-verified Google Workspace Enterprise Plus, Enterprise Essentials Plus, and Education Plus users.
      • AppSheet Core licenses will now be included for domain-verified Google Workspace Business Starter, Business Standard, Business Plus, Enterprise Starter, Enterprise Standard, Frontline Starter and Standard, Nonprofits, and Education Standard customers

      • Google Workspace for Education users designated as under the age of 18 are restricted from using AppSheet with their Google Workspace for Education accounts. For more information, use this article in our Help Center about controlling access to Google services by age.
